The Payroll Tax Analyst is responsible for oversight of all payroll tax activities for our US entities. This includes working closely with our third-party vendor, as well as overall compliance with local, state, and federal regulations, and acting as a subject matter expert for all payroll tax-related inquiries. 

Responsibilities

The Payroll Tax Analyst responsibilities include:

  • Timely and accurate reporting of enterprise payroll earnings and taxes to ADP
  • Overseeing ADP’s payroll tax services
  • Reconciling payroll tax accounts
  • Conducting quarterly payroll tax reconciliation of reported earnings and taxes
  • Researching and resolving payroll tax notices for penalties and interest
  • Managing the vendor relationship with ADP and year-end payroll processes
  • Providing SAP payroll support for complex and payroll tax requests
  • Lead or participate in process improvement projects and other shared services functions, as needed 

Auditing, Reporting, & Reconciliation:

  • Performs timely and accurate reporting of payroll earnings and taxes to ADP of the daily and periodic payroll results, and responsible for compliance with SOX controls.
  • Regularly creates and runs reports relating to payroll tax data for various departments.
  • Supports the payroll tax account reconciliation through identifying, explaining, and resolving discrepancies.
  • Reviews SAP audits (ZAUDS) for tax records discrepancies and resolves differences timely.
  • Conducts Enterprise-wide multi-state survey to ensure accurate state tax reporting 

Payroll Tax Administration:

  • Coordinates payroll tax rates and limits updates for Federal, State, Local, Unemployment, FICA, and others in BSI, SAP, and with ADP.
  • Coordinates setting up new tax jurisdictions for company additions, consolidations (LLC), and closings with the TDS Corporate Tax department, ADP, and the tax authorities.
  • Researches and resolves payroll tax notices, including validating or contesting penalties and interest that have been assessed.
  • Responsible for requesting business unit funding of payroll tax account for variances due to manual entries or payroll tax notices that result in additional tax dollars, penalties and or interest. 

Monthly, Quarterly & Year-End Processing:

  • Reviews and/or supports monthly reporting (e.g., department of labor, state unemployment, etc.) and provides timely correspondence as needed.
  • Performs quarterly and annual reconciliation of earnings and taxes in SAP, and those reported to ADP, in preparation for quarterly tax filing and production of W-2s. 
  • Resolves escalations related to tax filings; issues W-2C and/or other amendments as necessary.
  • Manages and coordinates payroll year-end processing efforts shared with the HRIS team and business unit partners. 

Relationship Management (ADP and Rimini Street)

  • Main point of contact for ADP on payroll tax related activities and serves as key relationship manager for ADP payroll tax processes
  • Leads quarterly/annual filing process and resolves issues timely with ADP, and partners with ADP to identify tax filing issues and/or other “rejections” and resolve issues preventing filing. 
  • Provides support to Rimini Street and HRIS to ensure changes are properly tested and operating effectively. 

Payroll Service & Support:

  • Provides support for payroll close activities (garnishments, auditing, uploads, new hires, off-cycles, etc.) as needed
  • Performs manual corrections (i.e., workbench entries) to make paycheck adjustments and ensure accurate payroll tax deductions
  • Provides support and training for payroll staff on payroll tax and other payroll related subject matters, including multi-state taxing, federal and state withholding regulations, taxing of stock options, etc.
  • Provides proactive efforts toward process improvements and system automation (e.g., repayment/invoicing processes, reporting opportunities, and/or system efficiencies

Qualifications

Required Qualifications:

  • Associate degree (or higher) in Business or related field -OR- equivalent combination of education and work experience
  • 3+ years of experience of Federal and State payroll tax. Experience with multi-state payroll tax is preferred
  • 1+ years of experience working with a large payroll system (preferably SAP)

This position has an annualized rate of pay that may range from $56,800-$76,500 per year. Pay is carefully considered based on a number of factors which may include position level, internal equity and market location, and may also vary based on job-related knowledge, skills, education, and experience. Associates are also eligible for a potential annual performance award (bonus), based on annual individual and company performance.
